About the Role

We are seeking an exceptional Patient Care Concierge to serve as the central liaison between our doctors, wellness team, and members. This role is dedicated to anticipating needs, personalizing each client’s journey, and ensuring every detail of their care plan is seamlessly executed.

From the moment a member walks in, you’ll be their advocate and guide — streamlining scheduling, preparing treatments such as peptide and hormone boxes in advance, and coordinating with our medical staff so everyone is aligned on the member’s goals. You’ll also provide accountability check-ins and health coaching support, helping members stay consistent, engaged, and empowered throughout their care journey.

This is a relationship-driven role that combines customer service, clinical support, and operational excellence to ensure our members experience the highest standard of concierge medicine.

What You’ll Do

  • Serve as the primary liaison between patients and the LIVV medical team, ensuring seamless communication and care coordination.
  • Guide patients through their personalized care plans and treatment protocols, ensuring full understanding and confidence in each step.
  • Proactively anticipate member needs and prepare treatments ahead of time (e.g., peptide therapies, hormone optimization boxes, supplement packages).
  • Partner with members to provide accountability and wellness coaching, supporting them in staying consistent with appointments, treatment adherence, and lifestyle goals.
  • Coordinate and manage scheduling across IV therapy, functional medicine, and aesthetics services, ensuring efficiency and a smooth patient experience.
  • Conduct intake and follow-up check-ins, gathering feedback and identifying opportunities to optimize care.
  • Collaborate with doctors, nurses, and patient care staff to ensure the entire care team is aligned and delivering an elevated, concierge-level member experience.
  • Manage administrative tasks including invoicing, payment processing, and membership engagement support.

Qualifications

  • Prior experience in a patient-facing role within healthcare, wellness, luxury spa, or concierge services.
  • Passion for helping people achieve optimal health and wellbeing.
  • Strong organizational skills with the ability to anticipate needs and stay ahead of scheduling and treatment preparation.
  • Excellent verbal and written communication skills, with the ability to build trust and rapport with diverse individuals.
  • Experience with EMR, scheduling platforms, and client management systems (Charm, Square, or similar).
  • Knowledge of functional medicine, naturopathic care, and wellness modalities is a strong plus.
  • Demonstrated ability to provide accountability and motivation to clients in achieving health goals.
  • Detail-oriented, proactive, and thrives in a collaborative, fast-paced environment.
  • Understanding of HIPAA compliance and patient confidentiality.
